Ordering documents
Buy official company documents from the source, by hand or automatically from a template
Introduction
Ordering a company document from its official source means two things you no longer have to do:
ask your customer for it, and decide whether what they sent you is genuine. Dotfile buys from
registries and data providers in more than 100 countries.
There are two ways in, and they answer different needs:
- By hand, from the Document store — you are on a company, you need one document now.
- Automatically, from a template — every case of a given shape orders the same documents as
it is created, with nobody deciding case by case.
Ordering by hand
- Open a company profile. In the right-side panel, click Open store.
- Browse the Document store. You see what is available for that company, each document with
its price and estimated delivery time. Some are retrieved manually from government portals,
which is why their delivery time is longer. Some can be previewed as a sample before you buy. - Purchase. When the order is ready you are notified in the notification center and by
email. While it is pending, an hourglass appears next to the Document store. - Retrieve it. The document stays in the Document store, and is downloadable straight from
the notification.

Ordering automatically
Auto purchase is configured on a template, so every case created from it orders the documents
you chose — registration certificates, financial accounts, articles of association, UBO registry
extracts — as the case is created. Documents are bought in real time and attached to the case.

Dotfile picks the vendor and the document for you, based on the company's jurisdiction. Where a
vendor offers several document types for a country, you choose which ones to include.
Naming specific documents
In the Documents auto purchase tab of a template, the panel has two sides: your current list
on the left, a browsable library on the right. Filter the library by country or search it by
name, then Add to list. Each entry shows its vendor, country and estimated cost, and a toggle
that disables it without removing it.
Or naming a category
A category buys the right document for the company's country without you naming a vendor or a
document. Useful when the same requirement is met by a Kbis in France and a Certificate of
Incorporation in the UK.

Each category has an on/off toggle and a max quantity — how many documents of that kind to
buy per entity, minimum 1. Dotfile takes the most recent ones available.
Order results
Every order, manual or automatic, moves through three states:

| Processing | Ordered from the vendor and being retrieved. Most arrive in seconds. |
| Completed | Purchased and attached to the case, ready for review. |
| Failed | The vendor could not deliver it. Dotfile falls back to requesting a manual upload from your customer. |

The exact cost of each document is shown in the app before you buy, and purchases are billed on
