Key Concepts
A Client Portal is composed of several steps. Some steps are mandatory and cannot be re-ordered, but you can add more steps to collect additional information. For each KYB portal, you will find the following steps:
Company search: This is always the first step of a KYB. Users are prompted to search for their company, either with name or registration number. They can then select their company among the returned results.
Company edit: Once a user has selected their company, key company information is automatically pre-filled using one of our business data providers. The user has the ability to correct the information if needed.
Affiliated company: This step is hidden by default. When activated, Dotfile will search for affiliated companies (shareholding companies, legal representatives). This can be useful if you also want to collect information about the entire ownership structure of your counterparties.
Business contact: In this step, we are asking the user for contact information so they can resume later their application or be contacted if additional information is required.
Check Page: The last step of a Client Portal is the Check Page, it shows for each entity (companies and individuals) the different Checks required (documents to collect or identity verifications to start). Which checks are triggered depends on the Template assigned to this portal in the portal Settings section.
Important: once a user has reached the Check Page, they cannot go back. Visiting the Client Portal URL again will always take them to the Check Page.
Alternatively, checks triggered can depend on a Workflow.
Steps hold different Fields. Some are default fields from Dotfile, others can point to Custom Properties you have created.
Whenever a user arrives on the last page of the Portal (ie the Check Page), it creates a Case in Dotfile, with the associated entities and checks.
Users that have not fully completed the Checks or that are required to submit documentation again can return to the Client Portal by visiting the same URL.
